Tell your AI the job, the day, and who is on it, and it creates the tasks in Projul and puts them on the "Schedule" for those installers and techs. When something moves, it updates the tasks instead of you re-typing the day.
Scheduling a job
Describe the day the way you would hand it to your install manager, and your AI creates each task with its time window and its crew.
Schedule [Harmon 4-Ton Heat Pump Changeout] in Projul for [Tuesday, July 14]. [7 to 9 am]: [Recover refrigerant and pull the old condenser and air handler] with [Marco Ruiz] and [Ty Chandler]. [9 to 11 am]: [Set the new condenser on the pad and set the air handler in the garage] with the same two. [11 am to 2 pm]: [Run the new line set, condensate and float switch] with [Marco Ruiz] and [Ty Chandler]. [2 to 3 pm]: [Electrical, whip and disconnect] with [Ty Chandler]. [3 to 5 pm]: [Pressure test, evacuate, weigh in the charge and start up] with [Marco Ruiz].
Name a person, or name a team; naming a team puts everyone currently on it onto the task. See creating and managing a crew and assigning a crew.
For an install you run often, keep the sequence as a project or schedule template and stamp it onto a new job with a start date, so the whole run of tasks lands at once. See starting from a template and building a whole schedule at once.
When the job changes
Equipment gets delayed, weather puts every tech on no-cool calls, or an inspection slides. Tell your AI what happened and it moves the tasks you name.
The [4-ton air handler] does not land until [Thursday]. Move every task on [Harmon 4-Ton Heat Pump Changeout] in Projul from [Tuesday] to [Friday], keep the same crew, and log on the job that the supply house pushed the equipment.
Give it a checklist and it adds the steps to the task in order, for the installer to check off in the app. See using checklists. Standing items like a Monday dispatch meeting or a spring tune-up round can repeat on their own, though a repeating task cannot carry a checklist. See setting up a repeating task.
Finishing and checking the schedule
Have your AI mark tasks complete as the day closes out. Completing a task records that work is done, not hours; time tracking is not available to your AI yet. See what's not available yet.
It can also list and attach the photos and files already on a job, such as the nameplate photo on a startup task; whether it can upload a new one depends on the tool you use. See uploading a job-site photo and attaching files to a task.
