Read the voicemail, the web form or the realtor's text to your AI and it creates the client and the lead in Projul, sets the job address, and books the estimate visit. The lead lands in "Lead pipeline" exactly as if you had clicked "+ Add a new project lead" yourself.
Taking down the lead
Give your AI what you have. It creates the client and the lead together, sets the job address and likelihood of sale, and writes the details into the project notes.
Add a lead in Projul for a new client, [Nora Whitfield], phone [(435) 555-0119], email [nora@example.com]. The job is [Whitfield Interior Repaint] at [742 N Bluff St, St. George, UT 84770]. Five rooms plus hallway, ceilings, and all the trim and doors. She wants it done before Thanksgiving and asked about low-odor paint. Likelihood [70]%.
Name an existing client instead and your AI attaches the new lead to that record rather than creating a duplicate. It matches on first and last name plus a matching email or phone, and tells you when it finds one. That works the same whether the lead is a referral, a realtor or property manager (the company becomes the client, the unit becomes the job address), a pasted web form, a builder pricing several houses at once (one lead per house), or a cold call with only a phone number.
Project type, lead source and tags are set in Projul after the lead exists. Your AI sets the name, client, address, notes, stage, likelihood of sale and the assigned estimator or project manager. See How do I have my AI add a new lead?
Booking the visit and logging the calls
Your AI books the estimate meeting with the date, time and estimator. In Projul, an estimate meeting on a lead moves it into the "Estimate" stage automatically, the same as booking one in the app. See How do I schedule an estimate walkthrough with my AI?
Painting sales run on short calls, and the ones nobody writes down are the ones that lose a warm lead. Your AI logs each call or site visit on the job with the method, the direction and whether you reached the person, which is what makes the follow-up counts on "Lead pipeline" mean anything. A site visit has no direction, only an outcome.
Log on [Whitfield Interior Repaint] in Projul that I called Nora this morning, reached her, and she picked [Sherwin-Williams Alabaster] for the ceilings and wants a sample on the family room wall.
See How do I have my AI log a call, text or site visit on a job? Your AI logs what was said; it cannot message the client directly. See Can my AI message a client directly?
Moving the lead and chasing estimates
A new lead starts in "New." Tell your AI where the conversation now stands and it sets the stage: "Contact," "Schedule," "Estimate," "Write," "Revise," "Send" or "Sell."
Your AI can also read across the pipeline for you: which leads in "Send" have no follow-up logged in the last ten days, what an old lead was quoted, which exterior leads have gone quiet since summer. Have it set a follow-up reminder on any of those leads, assigned to whoever owns the account, so the chase actually happens.
Closing it out
When the customer signs, tell your AI and it marks the lead sold, ready to schedule. When the crew finishes the touch-up walk, mark it completed. When the customer goes with somebody else, mark it lost so it leaves the pipeline instead of sitting there. See How do I have my AI mark a job sold, completed or lost?
