Tell your AI who called, the job and the address, and it creates the lead in Projul, logs the contact, and moves it along "Lead pipeline". A lead is just a project that has not sold yet, so everything your AI writes stays on the job after you win it.
Adding the lead
Give your AI the client, the job name, the address and whatever you know about the site. It creates the lead, adds the client if they are new, and writes the details into the project notes. If the client is already in Projul, name them as they appear there so your AI finds the record instead of duplicating it: find a client.
Add a new lead in Projul for [Ridgeline Homes] called [Ridgeline Lot 14 Site Package]. The job is at [2280 N 3400 W, Hurricane, UT 84737]. Notes: [house pad, driveway and utility trench, plans coming Friday, they want dirt moving the first week of October]. Likelihood of sale [70]%, estimator [Dan Reyes].
Logging the call and scheduling the walk
Your AI can log a call or site visit on the lead with the method, direction, and whether you reached the person: log a call, text or site visit. Scheduling the walkthrough as an estimate meeting moves the lead to "Estimate" and sets the attendees as estimators: schedule an estimate walkthrough. Plan sets, designs and site photos can go on the lead too: upload a job-site photo or document.
Schedule an estimate meeting on [Ridgeline Lot 14 Site Package] in Projul for [Monday at 9 am] with [Dan Reyes] and [Tom Hedges], and add these steps: [confirm pad elevation and setbacks, check access for the lowboy, find the utility stubs, photograph the drainage swale, note where the spoils can go].
Moving through the pipeline
"Lead pipeline" has eight stages: "New", "Contact", "Schedule", "Estimate", "Write", "Revise", "Send" and "Sell". Your AI can move a lead directly, and some moves happen on their own: scheduling the estimate meeting moves it to "Estimate", completing that meeting moves it to "Write", and completing an "Estimate to Write" task moves it to "Send". When the job sells, your AI moves the lead to "Sold" and it converts to a project, the same as dragging it there.
Note: Project type, lead source and tags are set in Projul after the lead is created. Your AI does not set them.
Follow-ups and closing
Site work is seasonal, so your AI can set a reminder for a specific date, like once the ground thaws, and a repeating reminder for the bid list you check weekly: set up a repeating task. When a lead is won or lost, tell your AI and note why while you remember it: mark a job sold, completed or lost.
