Where to find payments in Projul
Payments can be found in the payments page, the payouts page, or at the bottom of an invoice.
Payments page
The payments page contains a list of applied payments. To access the payments page:
- Navigate to the estimates or invoices page
- Select the "Payments" button at the top of the screen
The payments page displays a list of all payments in Projul. Click here to learn about manually adding payments in Projul. Additionally, click here to learn about payment processing through JustiFi.
By default, this page displays the payments made in the last month. The date range displayed can be adjusted by clicking on the "Last 30 days" at the top left corner of the payments page.
The "Columns" button can be used to control the information displayed on the payments page. This option chooses whether or not to display the following columns:
- Payment date
- Payment amount
- Payout amount
- Payout date
- Client
- Payment status
- Payment type
- Invoice number
- Reference number
- Payment method
Additional information about each payment can be viewed by clicking the three dots to the right of the payment date. This will open a menu with the option to open the invoice, open the client, refund the payment (only for JustiFi payments), or delete the payment.
Payouts page
Payout information is displayed in the payouts page. JustiFi identifies payments in 2 phases.
- "Payments" are funds that customers send to JustiFi
- "Payouts" are forwarded funds that JustiFi sends to the contractor
JustiFi sends payouts periodically. Consequently, one payout can contain multiple payments from different customers.
The payouts page shows all of the payouts made by JustiFi. This page is blank unless JustiFi is enabled in the account. To learn about JustiFi payment processing, click here.
To navigate to the payouts page, select the "Processor Payouts" option at the top of the page.
Similarly to the payments page, the payouts page has a date range that can be adjusted in the top left corner, as well as a "Columns" button in the top right that can be used to adjust the display information.
On the Invoice
The final place to view payments in Projul is on the invoice itself. To find the payment, first navigate to the invoice in Projul.
Once in the invoice, scroll down to the bottom and click the "View payments" button (which will change to "Hide Payments" once selected). This will display a list of all of the payments on that invoice, as well as the information associated with those payments.
How to edit an invoice
Projul’s invoicing system makes editing easy with its simple, intuitive interface.
From the front page of the invoice, the following can be edited:
- Invoice Title & Number
- Whether to set the date to when the invoice is sent
- Invoice Terms
- Whether the invoice is based on a percentage (%) or a dollar amount ($)
- How much to invoice
- Whether to have the entire value invoiced (pressing the button adds the entire remaining balance to the invoice)
There are two options to edit an invoice: individually or through an invoice line.
Editing through an invoice line
This option groups all of the sections into one and invoices based on that singular cost.
Editing estimate items individually
To edit estimate items individually, click on the "Or invoice the Estimate items individually" (which will change to "Or invoice as one line item" once selected).
This will bring up a list of all of the cost line items from your estimate and give you the option to invoice directly from there.
This page presents additional invoicing options, including:
- An add line item for additional costs
- Blue arrows that input the whole cost into the invoice
- A section to manually add the costs to the invoice
Discounts & taxes
The default tax is set to the one added in the estimate, but it can be manually changed from here by clicking on the edit button next to the tax title.
Selecting the discount button applies a discount to the invoice. This can be done by:
- Clicking on the "Add discount" button will open a pop-up that displays all the discounts currently available.
- Clicking on the three dot menu to the right of the discount opens an option to delete the discount.
- To add a new discount, click on the "New discount" button at the bottom.
The discount pop-up allows for the following information:
-
The discount type, either as a percentage (%) or a fixed dollar amount ($)
-
The discount name
-
The discount value
-
Whether the discount is applied before or after tax
Make sure to save the discount after entering the information needed.
Sending an invoice
At the bottom of the page, there are more options to edit the invoice. Make sure to save the invoice; otherwise, some of these options will not be displayed.
- Attach photos & files
- Choose who will pay the credit card fee, or whether to use ACH payments
- View the invoice in a paper preview
- Preview the invoice to see what it would look like as a client
- Add another invoice
- Send the invoice to the client (which will automatically publish the invoice)
- Record a payment
- Publish the invoice (which enables client view)
- Save the invoice
How to save and apply the introduction and contracts details on an invoice
After typing in the introduction field or the contract details field on an invoice, there will be an option to save the text as a template to reapply it later.
In order to save an invoice introduction or contract details as a template, start by opening up an invoice.
- Scroll down to "Introduction" and "Contract Details." They both work the same way, but in this example, we will use the Contract Details.
- Press the blue "+" button next to the Contract Details to expand the text box.
- Type the needed information into the text box.
- Click outside the text box. After doing so, a "Save as template" button will display.
Pressing the button will save the template after naming it and pressing "Ok."
There will now be an option to "Import memo from template." Selecting the name of the new template will apply the saved information to the textbox above.
If changes are made after applying the template, there will be an option to update the template. Selecting the "Update template" button will save any changes in the textbox.
A pop-up will appear to confirm the update.
How to edit or delete a paid invoice
Invoices with payments applied will need to have the payments removed before the invoice can be edited or deleted.
Removing the Payment / Unlocking the Invoice
After opening the invoice, scroll down and select the blue "View Payments" button.
Clicking the "View Payments" button will display a list of all payments that have been applied to the invoice.
NOTE: Before removing any payments, verify that all of the information has been recorded somewhere else so that the payment can be reapplied later if desired.
Click the red trash can icon to delete the payment.
NOTE: If this payment was made through JustiFi, there will be no delete option. In that case, please contact Projul customer support (support@projul.com) to edit paid invoices.
Editing a Paid Invoice
Once the payment is deleted, the invoice will be unlocked and editable again.
Applying a Payment
To re-apply the payment that was removed, click the "Record Payment" button in the bottom right corner of the screen.
Re-enter any payment information.
Finish by clicking "Save and Close" to save the changes.
Deleting an Invoice
To delete an invoice, open the invoice, click the 3 dot menu at the top right corner of the invoice, and click the "Delete invoice" button in the menu. The payment must be deleted before the invoice can be deleted.
How to add a payment to an invoice
A payment can be added to an invoice by opening a sent invoice, scrolling to the bottom, and clicking the "Record Payment" button.
To record a payment on an invoice, it must be published. To publish and invoice, select the "Publish invoice" option on the bottom left corner. This will turn off editing and allow payments to be applied to the invoice.
NOTE: The invoice can be unpublished anytime if there are no payments recorded on it.
A pop-up will appear stating what happens when the invoice is published. Select "Publish invoice" to publish the invoice.
Next, press the "Record Payment" button and enter the information regarding the payment.
Select the payment type that was used from the list.
Enter a reference number if needed and the amount that was paid. There is an option to specify the payment date.
To view all payments in the invoice, select the blue "View Payments" button towards the middle of the page.
This allows viewing, editing, and deleting any of the payments made to the invoice.
How do clients make payments through Projul?
If payment processing through the JustiFi integration is set up, clients can make credit card or ACH payments on invoices in Projul.
Enabling Payment Processing
Projul has partnered with JustiFi to allow clients to make payments online directly from the Projul invoice. For clients to make payments, payment processing must be set up through the JustiFi integration. To learn more about setting up the JustiFi integration, click here.
Once the JustiFi integration is activated, ACH or credit card payments can be enabled in integration settings. To navigate there:
- Click on initials in the bottom left corner
- Click on "Integrations"
- Select "JustiFi Settings"
Integration settings determine whether or not clients are allowed to make payments via credit card or ACH, as well as who will pay the processing fees. In the JustiFi integration settings, the following options can be changed:
- Allowing clients to pay via credit card
- Allowing clients to pay via ACH
- Determining whether the client covers the processing fee for credit card or ACH payments
To learn more about these JustiFi settings, click here.
Additionally, the "Enable payments" toggle can be used to choose if payments created prior to activating the JustiFi integration have payment processing enabled, or if only new invoices moving forward have payment processing.
What the Client Sees
After payment processing is set up in Projul, clients can easily make payments directly from their invoices. When they open the invoice link, a payment box will appear on the right side of the invoice, allowing them to enter their payment details. Once entered, they can simply click "Pay Now" to initiate payment of the funds directly to your bank account.
Please note: ACH payments generally take 3 to 5 business days to process the transaction, while credit cards normally process in 1 to 3 business days from the transaction date. Additionally, the first few ACH transactions generally take slightly longer than standard.
