You can edit an employee's permissions by navigating to the employee on the people page, clicking "Edit Employee," and then editing or switching the employee's permissions profile.

1. Editing Employee Permissions:
Start by navigating to the people page from the left sidebar or by clicking on the employees button.
Next, click on the employee whose permissions you would like to edit and click on the "Edit" button; or, to create a new employee, click on "New Employee" at the top right.
In the employee sidebar, click on the "Selected Permissions Profile" button. This will open up a menu where you can view and edit all of the permissions profiles that you have created in your account, as well as create new ones.
You can then switch the permissions profile that this user is assigned to by checking the box next to the profile that you would like to give the user, or assign multiple permissions profiles to the same user, which will give the user the maximum amount of permissions associated with both profiles. Alternatively, you can click on the edit icon to edit a permissions profile, or the "Add a new permission profile" to add a new one.
2. Permissions Settings in Projul:
If you choose to add or edit a permissions profile, a popup will appear allowing you to choose the permissions profile.
At the top of the profile, you can choose whether or not the profile has admin permissions. Granting admin permissions will automatically give all of the permissions below, and grant the user full access to everything in Projul.
Below the admin permission is the document reviewer permissions section. From the Document reviewer section, you can choose whether or not the user has permission to approve time logs, estimates, invoices, and specific documents in Projul if your account settings has reviewer requirements turned on.
If you have a QuickBooks sync active, you will also be able to choose account sync permissions. These permissions choose whether or not the user has permissions to sync specific items to QuickBooks. If you would like to know more about our QuickBooks sync, Click Here!
Below the sync permissions are the feature permissions. Feature permissions control access to the various features in Projul and are managed by sliders where you can grant an employee a level of permissions on various topics including:
- None (gives no access to the feature)
- View (the ability to see it but nothing more)
- Add (the ability to see and add)
- Edit (the ability to see, add, and edit)
- Delete (the ability to see, add, edit, and delete)
Most features also expand, allowing you to grant permissions based on the user's assignment, such as granting a user permission to edit an estimate only if they are assigned as the estimator. Once you have finished editing the permissions to your satisfaction, click "Save" at the bottom right. Then, make sure that the permissions profile is assigned to your employee, and click "Save and Close" on the employee editor.
3. Specific Feature Permissions:
3.1 Comment Channel Permissions:
Comment channel permissions are split into two sections: "Task Channels" and "Project Channels." If you give the user permissions for task channels, they will only be able to view the specific channels for their tasks. If you give a user permissions for project channels, the user will be able to view task channels, as well as the project channel, the client channel, the follow-ups channel, and the messages to client channel. You can edit project channel permissions based on:
- If the user has tasks for the project.
- If the user is a sales rep for the project
- If the user is an estimator on the project.
- If the user is the project manager on the project.
- Or you can grant the user permissions for all task/project channels.
3.2 Employee, Subcontractor, Vendor, and Purchase Order Permissions:
The employee, subcontractor, vendor, and purchase order permissions control the user's access to the employee, subcontractor, vendor, and purchase order sections of Projul. You can control these four permissions separately.
3.3 Clients Permissions:
Client permissions control your user's access to the clients section in the people page, as well as controlling the ability of the user to edit the client in other areas of Projul. Client permissions can be controlled by:
- If the user has tasks for a project from that client.
- If the user is the sales rep on a project for that client.
- If the user is the estimator on a project for that client.
- If the user is a project manager on a project for that client.
- All clients.
3.4 Estimate Permissions:
Estimate permissions control the user's ability to see and edit estimates within Projul. Estimates permissions can be controlled by:
- If the user is a sales rep on the project the estimate is for.
- If the user is a estimator on the project the estimate is for.
- If the user is a project manager on the project the estimate is for.
- All estimates.
3.5 Invoice Permissions:
Invoice permissions control the user's ability to see and edit invoices within Projul. Invoice permissions can be controlled by:
- If the user is a sales rep on the project the invoice is for.
- If the user is a estimator on the project the invoice is for.
- If the user is a project manager on the project the invoice is for.
- All invoices.
3.6 Project and Lead Permissions:
The project and lead permissions control the user's ability to view project leads in the lead pipeline, as well as projects in the projects page. Additionally, a user cannot assign a task to a project unless they have permissions to view that project. Project permissions can be controlled by:
- If the user has tasks for the project.
- If the user is the sales rep for the project.
- If the user is the estimator on the project.
- If the user is a project manager on the project.
- All projects.
3.7 Project Budget Permissions:
Project budget permissions control the user's ability to view and edit the project budget. Users need to also have permissions to view either the project or the estimate in order to view the project budget. Project budget permissions can be controlled by:
- If the user is the sales rep for the project.
- If the user is the estimator on the project.
- If the user is a project manager on the project.
- All project budgets.
3.8 Template Permissions:
Template permissions control the user's ability to apply and create templates in Projul. Rather than the normal "View" the first option for template permissions is "Apply." Template permissions can be granted for:
- Project templates,
- Estimate templates,
- Estimate section templates,
- Labor cost line item templates,
- Material cost line item templates,
- All templates.
NOTE: Even with template permissions, you cannot apply templates to items you do not have permissions to edit (e.g. if you have permission to apply project templates, but you do not have permissions to edit projects, you would not be able to apply project templates).
3.9 Time Log Permissions:
Time log permissions control the user's ability to view and edit time logs in Projul. The user can have no time logs permissions, permissions to view time logs, permissions to clock in and out, permissions to add time logs or edit previous time logs, or permissions to delete time logs. These permissions can be granted in two categories:
- User's own time logs.
- Every user's time logs.
3.10 Pay Rate Permissions:
Pay rate permissions control the users ability to select and edit pay rates.
NOTE: No matter your pay rate permission settings, you cannot add, edit, or delete pay rates unless you have full admin permissions. This will be changed in the future.
3.11 Tracking Data Permissions:
Tracking data permissions control the user's ability to view the employee geo tracking data in your account. Tracking data permissions can be set by:
- User's own geo location data
- All employee's geo location data
3.12 Report Permissions:
Report permissions control the user's ability to view reports. Users can be granted the ability to view:
- Sales reports.
- Financial reports.
- All reports.
3.13 Photo & File Permissions:
Photo and file permissions control the user's ability to view, upload, edit, and delete photos and files in Projul. Photo & file permissions can be controlled by:
- If the user is assigned to the task.
- If the user has tasks for the project.
- If the user is the sales rep for the project.
- If the user is the estimator on the project.
- If the user is a project manager on the project.
- All photos and files.
3.14 Schedule Permissions:
Schedule permissions control the user's ability to view the schedule, as well as add and edit tasks. Schedule permissions can be controlled by:
- If the user has tasks for the project.
- If the user is the sales rep for the project.
- If the user is the estimator on the project.
- If the user is a project manager on the project.
- All projects.
- User's own schedule.
- All users.
